Aha! Roadmaps | Sales tax

A number of American states charge sales tax on purchases of online services, including Software-as-a-Service (SaaS). This means that Aha! needs to collect sales tax from customers in applicable states. Sales tax applicability is based on where a company has "nexus" and where their customers are located and using the service.

Nexus can be triggered when a company has either a physical presence in a state (such as an office, warehouse, or employees in a given state) or an economic presence there (a combination of sales or transaction revenue that meet a given state's legal definition of economic presence). Each state can define and regulate nexus and applicable SaaS sales tax differently.

Aha! will charge sales tax based on customers' billing addresses in the following states where we have nexus and sales tax applies to SaaS:

  • Arizona

  • Connecticut

  • District of Columbia

  • Hawaii

  • Illinois

  • Massachusetts

  • Nebraska

  • New York

  • Ohio

  • Pennsylvania

  • Rhode Island

  • South Carolina

  • South Dakota

  • Tennessee

  • Texas

  • Utah

  • Washington

However, this list will grow over time as we expand the Aha! team in different states and as economic nexus laws continue to develop. Customers can change their billing address based on their use of Aha! if sales tax should be attributed to a different state.

If your company is tax-exempt, please do the following:

  • U.S. based companies: Let us know and share your tax exemption document with us.

  • Note that we have been collecting sales tax internationally for some time in certain jurisdictions. For EU and New Zealand companies: Please share your VAT or GST tax ID number with us so we can update our billing system (if you have not already done so).

Taxes on Aha! services

Aha! is required to charge consumption taxes in certain locations to comply with local laws. If you are located in a region where Aha! is required by law to collect tax, you will see the tax on your Aha! invoice.

If you do not see your region listed below, Aha! does not add taxes to your purchase price. It is your responsibility as a business or consumer to pay any other applicable taxes to your local government as needed.

Aha! customers located in the United States

Aha! is required to charge sales tax in certain U.S. locations to comply with local laws. Aha! is currently registered to collect sales tax or other transaction taxes in the following states:

  • Arizona

  • Connecticut

If you are located in a region where Aha! is required to collect sales tax, you will see the tax on your Aha! invoice. If you are not sure whether your Aha! usage is subject to sales tax, consult your tax advisor.

How sales tax is calculated in the United States

The amount of tax collected depends on many factors, including but not limited to the type of service you purchase and the tax location associated with your account.

If a service is subject to tax in your state, tax will be calculated on the final sale price of each individual service. Taxes are applied based on your shipping address first, and if you have not provided a shipping address, then on your billing address.

Make sure your current location details are up to date so that we can charge the correct tax rate.

Once your invoice is finalized, sales tax to be collected will be displayed as a separate line item on your invoice.

Tax exempt customers in the United States

Some organizations may be exempt from sales tax. If you are a tax exempt customer, please let us know and share your tax exemption document with us at billing@aha.io.

Once your exemption status has been approved by our team, future Aha! purchases will be exempt from tax where applicable unless your tax location changes or your exemption expires.

Your exemption will remain active until the expiration of your tax exemption certificate. To retain your tax exemption, share an updated exemption certificate with us before the expiration of the current certificate.

Aha! does not issue refunds or credits for any sales tax that was charged in previous calendar years.

The amount of time you have to submit a tax exemption certificate after purchasing varies based on your shipping location (or billing location if you do not provide a shipping location). If you do not see your location in the table below, you have 90 days from date of purchase to share your exemption certificate with us.

Tax registration numbers

Aha! collects Tax Registration Numbers (“TRNs”) associated with Value-Added Tax (“VAT”) and Goods and Services Tax ("GST") in certain countries to determine your status, as a business (B2B) or private/non-business customer (B2C). Your B2B or B2C status is a key factor to determine Aha!’s liability to charge VAT or GST on your service charges.

The TRN is also known as the Tax Identification Number (“TIN”), VAT/GST Number, VAT/GST ID, or VAT/GST Registration Number. The format and name depends on the country.

To update your TRN, please reach out at billing@aha.io to share your VAT or GST tax ID number with us so we can update our billing system (if you have not already done so).

Be sure to provide us with a VAT or GST registration number prior to purchase. Aha! does not issue refunds or credits for any VAT or GST that was charged in previous calendar years.

European Union

Aha! customers located in the European Union

Although Aha! is established in the United States, it is registered for EU VAT purposes and is required to charge VAT on sales of services to non-business customers (B2C) in the EU. Aha! pricing does not include applicable taxes and will be grossed up on account of VAT (if applicable).

If you are located in the EU, Aha! charges local VAT on all service charges, unless you have a valid VAT registration number.

  • The applicable VAT rate depends on your shipping country (or billing country if no shipping country provided).

  • If you have a valid VAT registration number, please share it with us so we can update our billing system (if you have not already done so).

  • Once you have provided a valid VAT registration number, no VAT will be applied on your future purchases of services from Aha! unless your tax location changes or your VAT number becomes invalid.

Please note that you may have to self-assess VAT on your local VAT return.

All VAT collected from customers will be reported to the local tax authorities under the EU simplified VAT registration regime known as the One Stop Shop (OSS).

United Kingdom

Aha! customers located in the United Kingdom

Although Aha! is established in the United States, it is registered for UK VAT purposes and is required to charge VAT on sales of services to non-business customers (B2C) in the UK. Aha! pricing does not include applicable taxes and will be grossed up on account of VAT (if applicable).

If you are located in the UK, Aha! charges local VAT on all service charges, unless you have a valid VAT registration number.

  • If you have a valid VAT registration number, please share it with us so we can update our billing system (if you have not already done so).

  • Once you have provided a valid VAT registration number, no VAT will be applied on your purchases of services from Aha! unless your tax location changes or your VAT number becomes invalid.

All VAT collected from customers will be reported to the local tax authorities under the UK VAT registration regime.

New Zealand

Aha! customers located in New Zealand

Although Aha! Labs Inc. is established in the United States, it is registered for New Zealand GST purposes. As such, Aha! accounts for GST at 15% on sales of Aha! services to customers located in New Zealand. Aha! pricing does not include applicable taxes and will be grossed up on account of GST (if applicable).

If you are acquiring Aha! services purchased from Aha! Labs Inc. for business purposes and are registered for New Zealand GST, please share your IRD number with us.

All GST collected from New Zealand customers will be paid to the New Zealand IRD.

Aha! issues New Zealand GST compliant tax invoices.
