About the meeting notes template

Meetings are meant to encourage reflection. As conversation flows, it is useful to capture what you discuss so you can revisit key concepts later or even share information with team members who were not able to attend.

Use this template to record notes, assign responsibility for follow-up tasks, and establish timelines for completing them. This promotes accountability across the team and reduces the risk of misunderstanding or miscommunication.

Adjust the template to make it your own — adding a table of contents, headings, call-out boxes, and other formatting options. Use it in concert with the meeting agenda template or combine both into a format that works best for you.

How to use the meeting notes template

Distill key details from a team meeting or 1:1 discussion.

  1. Define your purpose Agree on objectives in advance and capture the topics you want to cover. If you plan to make the meeting a working session, embed a whiteboard directly in your note so the team can brainstorm ideas together. And if you want to share the agenda ahead of time, consider using the standalone meeting agenda template.

  2. Revisit action items from the last meeting Discuss action items that require follow-up. @mention the person responsible, update the status, and include the due date. Meaningful follow-up keeps people engaged and accountable.

  3. Note important decisions Keep track of decisions that the team made while together. Where possible, record the "why" behind these decisions — giving folks context for how each helps you reach your product vision and goals.

  4. Encourage openness Offer space to add challenges, calls for help, or lingering questions. Transparency bolsters trust and team connection.

  5. Keep it moving Plan and assign next steps. @mention assignees, mark the status, and highlight due dates. Now you are aligned on who is doing what and by when.
